Privacy policy
How we look after your information
What we collect when you use kixi.now or get in touch, why, who else handles it, and how to see or correct what we hold about you. Written for the New Zealand Privacy Act 2020.
Who we are
Kixi Limited (“Kixi”, “we”) is a New Zealand company based in Wellington. This policy covers our website, kixi.now, and the information we collect when you contact us, book a demo or work with us.
What we collect
- What you give us. Your name, email address, company, role and anything you write in a form, an email or a booking. If you book a demo, the time you chose.
- How you use the site. The pages you visit, how you got here, roughly where you are (city or region, from your network address), your device and browser, and how you scroll and click. Anything you type into a form is hidden from these records.
- Which organisation you visit from. Some tools can tell us the name of the company a visit came from, using its network address. This identifies the organisation, not you.
- Our conversations. Emails and notes from calls and meetings with you.
We don’t ask for, and don’t want, sensitive information such as health or financial details through this site.
Why we collect it
- To reply to you, arrange a demo or a conversation, and keep a record of what we discussed.
- To send you information you asked for. We only send marketing emails if you agreed to them, and every one has a way to unsubscribe.
- To understand which pages are useful and fix the ones that aren’t.
- To keep the site and its forms secure and free of spam.
Information from other people
Sometimes we learn about you from someone else: a colleague who refers you, a public profile such as LinkedIn, or a service that names the company a visit came from. When we collect information about you this way, we’ll tell you when we first contact you: what we have, where it came from and why we have it, unless the law says we don’t need to.
Cookies and tracking
Our site uses cookies and similar tools:
- Google Analytics counts visits and shows which pages lead to a conversation.
- Microsoft Clarity shows where people click and scroll, as heatmaps and session recordings, with anything typed into forms hidden.
- HubSpot remembers your visits so that, if you later fill in a form, we can see which pages you read.
- Vercel, which hosts the site, counts visits without cookies.
You can block or delete cookies in your browser’s settings, and the site will still work. Cookie settings at the foot of every page lets you turn the optional ones off.
Who else handles it
We don’t sell your information. We use these providers to run the site and our business, and they hold some of it for us:
- HubSpot: our customer records, forms and demo bookings, stored in Australia.
- Google: Google Analytics, and Google Workspace for our email and calendar, stored in the United States and other countries.
- Microsoft: Clarity, stored in the United States.
- Vercel: hosting for the site, served from data centres around the world.
- Cloudflare: a spam check on our forms.
Some of these providers are outside New Zealand. We use well-established providers whose terms protect personal information in ways comparable to the Privacy Act, and they may use it only to provide their service to us. We may also share information if the law requires it.
How long we keep it
We keep contact records while we’re in touch with you and for up to three years after our last contact, unless we need them longer for a contract, our accounts or the law. Site analytics are kept for 14 months. When we no longer need information, we delete it or remove what identifies you.
Keeping it safe
Access to your information is limited to the people at Kixi who need it, using accounts protected by two-step sign-in. Our providers protect it with encryption and their own security controls.
Seeing and correcting your information
You can ask to see the information we hold about you, and ask us to correct it. Email us and we’ll reply within 20 working days. It’s free. You can also ask us to stop sending you marketing at any time.
Questions and complaints
Contact our privacy officer, John Mitchell, at john@kixi.now. If you’re not happy with how we handle a concern, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
Changes to this policy
If we change how we handle information, we’ll update this page and the date below.
